Platform T&C's

Welcome to MyClubAdmin! These Terms and Conditions (“T&Cs”) govern your use of the MyClubAdmin platform (know as “Platform” from henceforth). By signing up for an account or using the Platform, you agree to these T&Cs. If you do not agree, you must not use the Platform.

1. Introduction

MyClubAdmin (“we,” “us,” “our”) is a platform designed to help sports clubs, after school clubs and more manage the day to day admin of running the club including, but not limited to, events creation, payments acceptance, invoice management, attendance management and more.

2. Use of the Platform

Eligibility

  • The Platform is available for use by sports clubs, businesses, and organisations.
  • You must be at least 18 years old to use the Platform.

Free Usage

  • The Platform is free to use except for transaction fees associated with payment processing (see Section 3).
  • We reserve the right to introduce fees for the use of the Platform in the future. Any such changes will be communicated to you with at least 30 days’ written notice.

Prohibited Activities

You agree not to:

  • Use the Platform for any illegal activities or fraudulent purposes.
  • Share your login credentials with unauthorized persons.
  • Attempt to hack, disrupt, or misuse the Platform in any way.

3. Payment Processing

Stripe Integration

  • The Platform uses Stripe for payment processing. By using the Platform, you agree to comply with Stripe’s Terms of Service, available at Stripe’s website.

Transaction Fees

  • Stripe currently charge 1.5% +20p per transaction
  • The Platform charges a small admin percentage fee (2.5%) per transaction.
  • These fees are deducted automatically from each payment.

Currency and Taxes

  • Payments are processed in the currency configured by your account.
  • You are responsible for handling any applicable taxes.

4. Invoices

Invoice Generation

  • The Platform generates invoices linked to payments made through the system.

Responsibility

  • You are responsible for ensuring the accuracy of invoice details.
  • We do not provide tax or legal advice related to invoices.

5. Event Management

Registers

  • The Platform provides tools to maintain attendance registers for events.
  • You are responsible for verifying the accuracy of member details and attendance records.

Booking Accuracy

  • Clubs are responsible for ensuring that event details, dates, and bookings are correct.

6. Data Protection and Privacy

Your use of the Platform is subject to our Privacy Policy.

Data Collection

  • We collect and use data to provide and improve the Platform.

Club Responsibilities

  • As a club admin, you are responsible for obtaining consent from your members to store and process their personal data.

Compliance

  • We comply with applicable data protection laws, such as the General Data Protection Regulation (GDPR).

7. Liability and Disclaimers

Platform Downtime

  • We are not responsible for any losses incurred due to Platform outages or payment processing issues.

Data Loss

  • We are not liable for the loss of member data, bookings, or financial information due to system errors or misuse.

Event Accuracy

  • Clubs are solely responsible for the accuracy of event and register information.

Limitation of Liability

  • Our liability is capped at the total transaction fees collected from your account in the previous 12 months.

8. Intellectual Property

  • All Platform branding, design, and code are our intellectual property.
  • Unauthorized copying, modification, or use of our intellectual property is prohibited.

9. Termination of Service

Termination by Us

  • We reserve the right to suspend or terminate your account for violations of these T&Cs or suspected fraudulent activity.

Termination by You

  • You may terminate your account at any time. Upon termination, you must settle any pending payments or obligations.

10. Updates to the Terms

  • We may update these T&Cs periodically. Significant changes will be communicated to you.
  • Continued use of the Platform after updates implies acceptance of the new T&Cs.

11. Disputes

  • Disputes will be resolved through mediation or arbitration before resorting to court proceedings.
